Frequently Asked Questions

Teams is a comprehensive platform designed for chat, channels, file sharing and sustained team collaboration. Google Meet is a lighter tool focused on quick video meetings and deeply integrated with the calendar. Academic staff may use either; Teams is recommended for team collaboration, Meet for short meetings.

No. Most meeting needs can be met with Teams or Meet. Zoom Enterprise is allocated on request for large events with 300+ participants, webinars, or meetings with stakeholders accustomed to that platform. Apply at desk.hku.edu.tr; approval time is 2 business days.

The default shared area quota for a unit is 100 GB; 50 GB is allocated for temporary project-based areas. If insufficient, a justified quota increase request can be submitted via DESK; the request is evaluated within 2 business days.

The meeting organiser sends the shared invitation link by email. A guest can join using a web browser or guest account for Teams, or a Google account or browser for Meet. If the Lobby feature is enabled, the guest is admitted after organiser approval.

Meeting recording is only permitted with the explicit consent of all participants; when recording begins, the platform displays an automatic notification. Recordings are destroyed at the end of the retention period and shared with third parties only for authorised purposes. See KYS.POL.04 and the KVKK Clarification Notice.
